Main purpose of the role:
The British Embassy in Santo Domingo is seeking a proactive, highly organised Executive Assistant to work closely with the British Ambassador. The successful candidate will manage the Ambassador's diary, correspondence and engagements and help ensure that she has the information, advice and support she needs to deliver her priorities.
This is a trusted role at the heart of a small, busy and friendly Embassy. The successful candidate will develop a strong understanding of the Ambassador's priorities and ways of working, anticipate what is needed and act as an effective link between the Ambassador and colleagues across the Embassy, FCDO headquarters in London, other embassies in Santo Domingo, government ministries and a wide range of external stakeholders. They will ensure that the Ambassador is kept informed, briefings are ready on time, and decisions and agreed actions are followed up.
The role is varied and engaging. Alongside the core responsibilities, the Executive Assistant will take on a range of additional tasks as priorities arise. These may include supporting diplomatic events and visits and, occasionally, assisting with the Ambassador's responsibilities as Treasurer of the Diplomatic Corps. The successful candidate will need to be adaptable, willing to use their initiative and comfortable working in an environment where no two days are quite the same.
The role involves regular contact with senior government officials, business leaders, civil society and the wider diplomatic community. It offers an excellent opportunity to work closely with the Ambassador, contribute directly to the Embassy's work and be part of a supportive and high-performing team.
Excellent spoken and written English and Spanish, strong organisational skills, sound judgement and discretion are essential.

The main responsibilities of the role include to:
• Manage the Ambassador's office, including her diary, correspondence, invitations, briefing requests and engagement schedule.
• Work closely with the Ambassador, developing a strong understanding of her priorities and preferred ways of working and anticipating what support is needed.
• Act as the principal link between the Ambassador and Embassy teams, FCDO headquarters in London, other embassies in Santo Domingo, government ministries and external stakeholders, ensuring that she is kept informed of important developments and to ensure information reaches the right people.
• Coordinate briefing for meetings, visits and events, ensuring that contributions are commissioned, brought together and delivered on time.
• Track decisions, commitments and follow-up actions, working with colleagues to ensure that they are completed.
• Act as the Ambassador's primary point of contact for internal and external stakeholders and manage requests appropriately.
• Build and maintain strong relationships with government officials, diplomatic contacts, business leaders and other key stakeholders.
• Coordinate Ambassadorial visits, meetings and events, including programmes, guest lists, logistics and follow-up.
• Work closely with colleagues across the Embassy, the Ambassador's Residence and FCDO teams in the UK to deliver Embassy priorities.
• Provide administrative support for the Ambassador's work as Treasurer of the Diplomatic Corps when required, including liaison on banking and financial administration.
• Take on other tasks in support of the Ambassador and Embassy priorities as they arise, such as management of the public mailbox.
Resources managed: The role holder is responsible for managing the budget for the Ambassador's office/administration.
This role requires excellent organisation, initiative, discretion and attention to detail. The successful candidate will be comfortable managing competing priorities, responding flexibly to changing circumstances and taking responsibility for ensuring that important tasks are completed.

Essential qualifications, skills and experience
• Excellent interpersonal and stakeholder-management skills, with the confidence to build a strong and effective working relationship with the Ambassador and with senior figures and a wide range of internal and external contacts.
• Strong organisational and administrative skills, including managing complex diaries, competing priorities and tight deadlines.
• Excellent written and spoken English and Spanish, with the ability to communicate professionally and draft correspondence, briefings and other documents to a high standard in both languages.
• Sound judgement, discretion and sensitivity when handling confidential information and managing requests on behalf of a senior leader.
• A proactive approach, with the ability to anticipate requirements, use initiative and ensure that decisions and agreed actions are followed through.
• Experience of coordinating meetings, events, visits or senior-level engagements, with strong attention to detail and a focus on excellent delivery.
• Strong digital skills, including proficiency in Microsoft Outlook, Word, Excel, Teams and other collaboration tools. Knowledge of Copilot would be an advantage.
• Ability to work independently and as a team player, adapting calmly and effectively as priorities change in a fast-paced environment.
Desirable qualifications, skills and experience
• Experience providing high-level executive support in a Private Office, or as an Executive Assistant, Personal Assistant, Head of Office or in a similar role supporting an Ambassador or senior leader.
• Experience working effectively with senior government, diplomatic, international, business or other high-profile stakeholders.

Applicants must have the legal status to live and work in the Dominican Republic at the time of application.
Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
