About the Role

We are seeking a highly motivated and bilingual Admissions Coordinator to serve as the first point of contact for prospective students interested in career-focused training programs. This is a high-impact, inbound sales and enrollment role where you will guide prospective students through the admissions process, answer questions, explain program options, and help individuals take the next step toward their career goals.

The ideal candidate is a confident communicator, skilled at building rapport over the phone, and comfortable guiding conversations from initial inquiry through enrollment. You will support prospective students across both healthcare and skilled trades programs while ensuring an exceptional admissions experience.
Responsibilities
Student Recruitment & Enrollment
  • Answer inbound calls from prospective students in English or Spanish.
  • Build rapport and establish trust with prospective students.
  • Identify each caller's goals, interests, and enrollment timeline.
  • Recommend the most appropriate training program based on student needs.
  • Guide prospective students through the enrollment process from inquiry to registration.
  • Close enrollments during the initial conversation whenever possible.
Program Advising
  • Explain program details, including curriculum, schedules, program length, start dates, and career outcomes.
  • Educate prospective students on available training opportunities across multiple campuses and programs.
  • Address questions and concerns clearly and accurately.
  • Help students understand program expectations and requirements.
Funding & Financial Guidance
  • Explain available funding and tuition assistance options.
  • Provide accurate information regarding:
    • VA Education Benefits
    • State Workforce Funding Programs
    • Applicable Financial Assistance Opportunities
  • Help students understand the enrollment and funding process.
  • Ensure prospective students receive accurate information regarding eligibility and next steps.
Follow-Up & Lead Management
  • Follow up with prospective students who do not enroll during the initial conversation.
  • Maintain consistent communication until a clear enrollment decision is reached.
  • Track and manage prospective student pipelines.
  • Re-engage inactive leads when appropriate.
  • Ensure no qualified prospect is lost due to lack of follow-up.
Student Records & CRM Management
  • Maintain accurate records of all conversations, inquiries, and enrollment activities.
  • Update lead and student information within CRM and tracking systems.
  • Document notes, follow-up actions, and enrollment status.
  • Ensure data integrity and accurate reporting.
Campus Coordination & Student Onboarding
  • Coordinate with campus teams regarding start dates and seat availability.
  • Assist with enrollment paperwork and required documentation.
  • Ensure students understand next steps prior to program start.
  • Support a smooth onboarding experience for newly enrolled students.
  • Communicate effectively with internal teams to ensure enrollment accuracy.

Required Experience & Skills (Minimum)
  • Fully bilingual in English and Spanish (written and verbal).
  • Minimum of 2 years of admissions, enrollment, inside sales, or consultative sales experience.
  • Experience handling inbound phone inquiries and converting leads into customers or students.
  • Strong objection-handling and closing skills.
  • Excellent verbal communication and active listening abilities.
  • Experience using CRM, lead management, or call-tracking systems.
  • Strong organizational and follow-up skills.
  • Ability to work independently in a remote environment.
  • Reliable internet connection and professional home office setup.
Ideal Experience & Skills
  • Admissions or enrollment experience within vocational, trade, technical, or career schools.
  • Experience in education sales or student recruitment.
  • Familiarity with VA Education Benefits.
  • Knowledge of workforce development and state funding programs.
  • Experience working with healthcare education programs.
  • Experience working with trade school or vocational training programs.
  • Ability to advise students across multiple program categories.
  • Strong understanding of enrollment and student onboarding processes.

What Does a Typical Day Look Like?

An Admissions Coordinator's day focuses on speaking with prospective students, answering questions, guiding enrollment decisions, and ensuring a seamless admissions experience.

You will:
  • Answer inbound calls from prospective students.
  • Discuss career goals and recommend appropriate programs.
  • Explain program details, schedules, and outcomes.
  • Review funding and financial assistance options.
  • Process enrollment paperwork and documentation.
  • Follow up with prospective students who have not yet enrolled.
  • Update CRM records and enrollment status.
  • Coordinate with campus teams regarding student onboarding.
  • Monitor enrollment pipelines and prioritize follow-up activities.

In essence: you are responsible for helping prospective students make informed decisions, guiding them through the enrollment process, and ensuring they begin their educational journey with confidence.
