Location: Onsite - Cluj-Napoca, Romania
The
HR Service Specialist will act as interlocutor between the ADP (payroll external provider) and Vertiv. Managing any issue related to hiring, payroll, sickness, work accidents, contractual changes, EHS documentation and any other communication or process that must be made to the Social Security and Public Employment Service.
- Serve as the primary liaison between Vertiv and ADP, ensuring accurate payroll processing and resolution of related issues.
- Manage end-to-end HR administration, including hiring, offboarding, contractual changes, sickness, work accidents, and mandatory communications to Social Security and Public Employment Services.
- Maintain and regularly audit HR databases and HCM systems to ensure data accuracy.
- Provide guidance and support to employees on payroll, labor regulations, policies, company cars, and general HR queries.
- Administer the Nettime time & attendance system, including calendars, absences, and incident management.
- Oversee manual PTO and technical absence tracking for Field Service Engineers not using Nettime.
- Prepare periodic HR reports (PTO, company cars, payroll, SIP, bonus, etc.) for Finance and other internal stakeholders.
- Coordinate the annual Training Plan, including government credit documentation, vendor communication, and progress tracking.
- Manage the Flexible Compensation Plan-plan setup, employee documentation, supplier orders, and payroll controls.
- Oversee the company vehicle fleet: contract monitoring, bids, replacements, monthly reporting, and salary-in-kind calculations.
REQUIRED QUALIFICATIONS - Working knowledge of Spanish payroll.
- Vocational Training in the branch of Administration /HR
- Experience of at least 1 year in the area of Human Resources Administration.
- Medium-high level of office package
- Knowledge of labour and Social Security regulations in Spain.
- Knowledge of HR programs and tools (HCM, time attendance, supplier web platforms, payroll, etc.)
- Fluent in Spanish & English. Portuguise will be very welcome.
