We are seeking a highly organized and proactive Local Office Ambassador to manage our office operations, vendor relationships, budget, and community engagement in the Philippines. The ideal candidate will serve as a key liaison between our global leadership, local staff, and vendors, ensuring smooth operations and a positive work environment.

Duties and Responsibilities:

Office Management:
  • Develop and enforce office policies regarding VA visits, behavior, and office space usage, ensuring compliance with company standards.
  • Coordinate repairs and maintenance with the building's maintenance team.
  • Maintain a positive, clean, and safe office environment.
  • Implement process improvements to enhance office efficiency and usage.

Vendor Management:
  • Compile and maintain a list of vendors and service providers, serving as the main point of contact for the region.
  • Research and onboard new vendors to enhance VA experiences and company operations.
  • Collaborate with HR to administer benefits to VAs.

Budget Management:
  • Manage the office budget, including expense approvals and tracking expenditures against budget allowances.
  • Maintain records of all approved expenses.

Event Planning:
  • Organize local and virtual community events, including planning, communications, scheduling, budgeting, and logistics.
  • Track attendance and gather feedback to assess event satisfaction.

Communication Liaison:
  • Act as the primary point of contact between the office, VAs, local vendors, and global leadership.
  • Represent the region in community meetings and global events.
  • Communicate safety and continuity plans during local emergencies.

VA Engagement and Support:
  • Maintain accurate records of VAs in the region and collaborate with HR on updates.
  • Keep VAs informed and engaged with company updates and events.
  • Provide support to VAs, addressing inquiries and concerns.
  • Assist in onboarding new employees and integrating them into the community.
  • Manage the region's Slack channel, ensuring positive and timely communication.

Content Creation:
  • Create content from community events and daily interactions to share with the marketing team for promotional purposes.

Compliance and Administration:
  • Identify local legal support and ensure compliance with local laws and regulations.
  • Assist in meeting country registration requirements and renewing licenses and permits.

Partnerships and Associations:
  • Engage with decision-makers at legal organizations, educational institutions, and associations.
  • Lead negotiations and finalize partnership agreements.
  • Maintain relationships with partners, providing recommendations for partnership development.

Requirements

Qualifications:
    • Strong organizational, communication, and leadership skills.
    • Ability to manage multiple responsibilities and stakeholders.
    • Experience in office management, vendor relations, and budget management.
    • Proficiency in event planning and community engagement.

System and Work Setup Requirements:
    • A stable and high-speed internet connection preferably 25 MBPS or higher with backup in cases of power interruption or service provider issues
    • Own PC/laptop with 8GB RAM, and a processor of Core i3 / AMD Ryzen 3 / 2013 Mac equivalent or higher; Windows 10 or above / Catalina 10.15 or newer; with up-to-date web browsers, and security software, 500GB/128 SSD storage
    • Headset/earphone with noise cancellation and webcam at 720p or higher resolution
    • A designated, quiet, and well-organized workspace free from distractions to facilitate focused work.
