We are seeking a detail-oriented and organized
Real Estate Virtual Assistant to manage and streamline key operational processes. The ideal candidates will assist with application processing, resident account management, and integration tasks while delivering exceptional customer service. This role requires expertise in property management workflows, strong technical aptitude, and flexibility to adapt to evolving processes.
- Review, verify, and process applicant documents to ensure compliance with housing laws and property policies.
- Manage lease agreements, prepare welcome letters, and coordinate onboarding for new residents.
- Address applicant queries and provide clear guidance through the leasing process.
- Collaborate with the compliance team to resolve issues related to document verification.
- Oversee lease renewals, file audits, and delinquency notices.
- Process move-out statements and assist with final account reconciliations.
- Communicate with residents to address account-related concerns, providing personalized support.
- Maintain accurate records in property management systems, ensuring data integrity.
- Collaborate with other departments to streamline workflows and documentation.
- Develop and maintain process playbooks for onboarding and daily operations.
- Participate in regular touchpoint calls with supervisors to review performance and resolve challenges.
- Support training initiatives for new hires and provide feedback for continuous improvement.
Requirements - 1-3 years of experience in property management, leasing, or customer service.
- Knowledge of housing laws, leasing compliance, and application processing
- Strong technical aptitude and ability to navigate multiple systems simultaneously.
- Technical Skills
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Experience with property management tools such as Yardi, Funnel, VeraFast, and The Guarantors.
- Graphics design experience with Canva for creating presentations, flyers, and resident communications.
- Soft Skills
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Proactive problem-solving approach with attention to detail.
- Customer service orientation with a focus on creating positive experiences.
- Flexibility to adjust schedules based on operational demands.
- Preferred Qualifications
- Multilingual proficiency, especially Spanish, is highly required.
- Strong Experience, Exposure or training in property management and rental property is a plus
